Every Vizir talks regularly with a Vizir. In this chat they talk about the project, the company, their happiness and afflictions. Whatever is subject to an action plan or conversation with other people, a Buddy records and takes it to other people at Vizir.
Giving individual feedback to each member of the Vizir team and aligning expectations as a company and each one's career has always been a problem, as all attempts prior to the Feedback Loop were dependent on the partners’ participation. Considering the continuous growth of the company, they are not able to be so close to every single Vizir to give them relevant feedback.
In order to solve this major issue, Feedback Loop was born.
HOW IT WORKS?
Each Vizir has a 30-minute chat with their Buddy every two weeks.
All buddies meet weekly to talk about important points identified in the conversations.
A more objective performance analysis performed every 6 months, where we look at the Vizir's performance as a whole.
Each group must have up to 5 people
At any time a Vizir can ask to change their Buddy, speaking directly to the Buddy or one of the partners
The Vizirs of each group will be selected to discuss among the Buddies
The relation between Buddy and Vizir is not restricted to the two having the same technical profile, that is, a Buddy who is a Developer can have Designers and/or Testers within their group
Being a buddy is a complementary role as to the one played within Vizir. If the person is a developer, they will remain as such and also act as a buddy of up to five Vizirs. They are an important responsible for our feedback process. Buddies are people who showed interest or were suggested by someone and liked the idea. It is important to be willing to participate in the process. The other buddies, along with the partners, end up defining the next buddies.
Monitor and guide the professional development of each Vizir in the group
Provide input to other Buddies about Vizirs who interact on a daily basis
Be the closest person to each Vizir within the group creating a relationship of trust based on empathy
Align mutual expectations between company and professional, the main thing is to listen and bring the points and then answer them back
Assist the onboarding of a new Vizir by playing the godfather role in the onboarding process
They will not resolve all conflicts between people and project problems, the main focus should be to guide and connect the targets of the problems so they can come to a solving by themselves
30-MINUTE CHAT EVERY TWO WEEKS BETWEEN BUDDY AND EVERY VIZIR FROM THEIR GROUP
This chat does not have a standard agenda to be followed, here it is important for Buddy or Vizir to bring matters that they consider relevant, for the moment, the main purpose is to touch on points that are boosting or impacting personal and professional development in general, in cases not having anything specific is a good opportunity to strengthen the relationship between the two by not being restricted to professional matters.
BROAD AND OPEN CHAT TO BE ADDRESSED PERSONAL MATTERS
Buddy will be the person who should have the best view of the Vizir's personal and professional moment, example: if the Vizir is going through a family problem it is quite possible that this impacts their performance at work, ideally the Vizir should comment this with their team, but it often doesn’t happen, in this scenario the Buddy should know this and interact with those involved in the daily work of the Vizir to contextualize the delicate moment.
Weekly meeting between Buddies where they bring their vision about the Vizirs who had the greatest interaction. The goal is to exchange information in order to come up with relevant data for the fortnightly one-on-one meeting with each Vizir in their group.
The main goal of this meeting is for the Buddies to bring only the most relevant points of the one-on-one meeting whether they are positive with the sole purpose of sharing them with everyone or problems that should become items in the Trello action plan, which should have a plan to solve a certain problem.
In addition to bringing the new points, the meeting should be used to review all the items in the Trello action plan and update them on their progress.
